Refund Policy

This policy covers rentals, retail purchases, and bulk school orders placed with Fancy Dress Costume (Rita Barman, sole proprietor; GSTIN: 09BPJPB0780B1ZA). It explains how deposits, late fees, cancellations, refunds, and damage charges work at Fancydresscostume.in. We've kept it as clear and customer-friendly as possible. 1. Security deposit

For every rental, we collect a refundable security deposit. The deposit amount depends on whether your delivery falls within Zone 1 (within 5 km of your dispatch store) or Zone 2 (beyond 5 km), as defined in our Delivery & Pickup Policy.

For example, a costume with a retail price of ₹1,000 has a deposit of ₹300 in Zone 1 (because 20% of ₹1,000 is ₹200, but the minimum is ₹300) and ₹600 in Zone 2. A costume with a retail price of ₹2,500 has a deposit of ₹500 in Zone 1 and ₹1,000 in Zone 2.

The higher Zone 2 deposit compensates for the longer logistics path on returns. It does not affect rental fees, late return charges, cancellation fees, or damage assessments — only the deposit changes between zones.

The deposit is collected at the time of pickup or delivery. It is refunded in full when the costume is returned in good condition within the agreed rental window. Any deductions for late return, damage, or stains are clearly itemized at the time of return and shared with you in writing (WhatsApp or email).

2. Rental fees

A standard rental is for 24 hours, calculated from the time of pickup (in-store) or delivery (online).

For longer rentals chosen at booking:

  • 2-day rental: 10% of the costume's retail price
  • Each additional day: 5% of retail price
  • Maximum cap: Total rental fees never exceed the costume's retail price

Once the cumulative rental fees equal the retail price, the rental converts into a purchase and you keep the costume. We will inform you when this point is approaching.

3. Late returns — in-store rentals

These rules apply when you pick up the costume in person from our store and return it in person.

Example: If your rental fee was ₹500 and you returned the costume 50 hours after pickup, your charges would be: ₹500 (Day 1 rental) + ₹500 (extra day) + ₹150 (30% penalty) = ₹1,150.

4. Late returns — online / delivery rentals

These rules apply when we deliver the costume to your address.

Option A: You return the costume to our store yourself

You may choose to bring the costume back to our store at C-22, Second Floor, Surya Nagar, Ghaziabad. In this case, the same in-store late-return rules apply (Section 3 above), with the clock starting from the time of delivery to your address.

Option B: We pick up the costume from your address

Our pickup team will arrange a pickup window with you via WhatsApp. The first pickup attempt is scheduled 24 to 28 hours after delivery.

You can switch to Option A (store return) at any time without notice — just bring the costume to our store and we'll close out the rental fairly.

5. Cancellations

The 7-day comeback policy is our way of giving customers a second chance. Life happens — we'd rather have you back than lose you.

6. Early returns

The rental fee is for the full 24-hour period (or whatever longer period you booked). If you return the costume earlier than the rental window — for example, returning at 12 hours into a 24-hour rental — there is no partial refund or discount. The fee covers your right to use the costume for that full window, regardless of how long you actually use it.

Show or event cancellation exception: If your event is cancelled and you've already collected the costume (or it has been delivered), let us know within 24 hours of pickup or delivery. We will hold your rental as a credit and let you re-use it on a later date — typically within 30 days, subject to availability. The costume must be returned in unused condition for this exception to apply.

To request a credit under this exception, contact us via WhatsApp at +91 9871278984 with proof of cancellation (organizer notice, school message, etc.).

7. Costume not returned at all

If a rented costume is not returned (after multiple unsuccessful pickup attempts and follow-ups), we treat it as lost. In this case, your security deposit is forfeited and you are charged the full retail price of the costume. We may pursue legal action for non-returns at our discretion.

8. Damage to rental costumes

Costumes are checked at the time of pickup/delivery and again at return. We expect normal use; light wear such as small wrinkles, minor dust, or a small repairable tear is considered normal handling and is not charged.

How damage charges are calculated

Damage charges are calculated as a percentage of the costume's retail price, so the charge scales fairly with the costume's value. For example, a tear is currently charged at 1.5% of the retail price (₹15 on a ₹1,000 costume, ₹37.50 on a ₹2,500 costume). Other damage charges are determined per our internal damage matrix, which is reviewed and updated periodically based on real-world experience. The version of the matrix active on the day of your rental is the one that applies — even if it's updated later.

Damage assessment process

When damage is identified at return, our process is:

  1. Our inspector logs the damage type, severity, and photographs the affected area
  2. The system suggests a charge based on the active damage matrix
  3. The store manager reviews and either approves or adjusts the charge fairly
  4. You are notified of the charge via SMS or WhatsApp, with the photos and reason
  5. If you disagree, you can dispute the assessment within 7 days
  6. Charges are settled against your security deposit; any balance is refunded or invoiced

Disputing a damage charge

If you disagree with a damage assessment, contact us via WhatsApp or email within 7 days of receiving the assessment. Provide your reasoning and any supporting evidence (photos from your end, witness account, etc.). We review every dispute fairly and respond. Our manager has the authority to adjust or waive charges in cases where the assessment was unclear.

9. Retail purchases (online or in-store)

For costumes you buy outright (not rent), we offer a 7-day return window from the date of receipt, subject to the following conditions:

  • Item must be unused, with all original tags and accessories intact
  • Item must be in original packaging (where applicable)
  • Customized or stitched-to-order costumes are non-returnable, and the customization fee (from ₹100, depending on the changes) is non-refundable
  • Innerwear, masks, and certain hygiene-sensitive items are non-returnable
  • Customer pays return shipping/courier costs

Once we receive the returned item and verify its condition, refunds are processed within 7 working days to the original payment method. If a refund is delayed beyond this period, please contact us.

10. Defective or wrong items

If you receive a costume that is defective, damaged on arrival, or different from what you ordered, contact us within 24 hours of receipt with photos. We will arrange a free pickup, replacement, or full refund — your choice.

11. School and bulk orders

School orders, wholesale orders, and franchise-related transactions follow separate terms agreed in writing at the time of order. Standard refund timelines may not apply. Please refer to your order confirmation or contact us directly.

13. Grievance officer

If a refund-related complaint cannot be resolved through the channels above, you can escalate to our designated Grievance Officer as required by India's Consumer Protection (E-Commerce) Rules, 2020:
